Role: Senior Executive Assistant
Reports to: Vice President & General Manager
Location: Mississauga Flexible Commuter
What you will do
Let’s do this. Let’s change the world. In this vital role you will provide administrative support to the General Manager and other designated Leadership Team (LT) members, with additional LT functional support priorities to be determined.
General Manager Support:
- Perform all duties of an Executive Assistant, including managing calendars, scheduling meetings with internal and external partners, booking travel, expense reporting, composition of correspondences, formatting documents and presentations.
- Provide leadership through collaborative efforts with Administrative Coordinators across Amgen Canada.
- Process accounting requests; check requests, create POs and new vendor set up.
- Track relevant budgets, invoices, accruals and reconciliation with finance.
- Meeting secretary role for Management Team: assist with meeting logistics, developing meeting agendas, minutes and maintaining internal portals.
- Responsible for preparing required documents pre-meeting and post-meeting follow-ups.
- Handle and prepare documents of a highly confidential and sensitive nature, execute consistent and precise follow-up by ensuring issues are resolved and projects completed in a timely manner.
- Play a supportive role in Facilities administration
- Organize company events with the input from the Corporate Affairs Lead and GM, as requested.
- Special projects support required by Management Team.
- Execute tasks with an understanding of company compliance standards and policies.
HR Support:
- Purchase Order and vendor setup, invoice processing and payment support.
- Coordinate logistical support for HR meetings.

Basic Qualifications:
- Computer skill proficiency in Microsoft Excel, Word, Power Point, and MS Teams.
- Fluency in English, both in oral and written communication
- Thorough and accurate attention to detail in day-to-day activities
Preferred Qualifications:
- 5+ years of executive admin support experience in Pharmaceutical/Biotech industry.
- Bachelors Degree
- Ability to handle confidential information with integrity and discretion.
- Demonstrated leadership and strong collaboration with Administrative colleagues within the company
- Lead and/or participate in administrative continuous improvement activities in order to simplify the work.
- Advise partners on the best way of conducting administrative tasks.
- Administer and be a SME of essential IS/IT administrative systems to increase efficiency in day to day. work, including meeting technology, SharePoint Online, etc.
- Demonstrated advanced proficiency across a broad range of administrative tools, processes and procedures.
- Ability to exercise considerable discretion, judgment, tact and diplomacy.
- Demonstrated ability to take the initiative to respond to rapidly changing priorities.
- Ability to work independently with only general guidance.
- Excellent time management and organizational skills.
- Excellent interpersonal and communication skills as demonstrated by the ability to work effectively with others at all levels of the organization and externally.
- Previous experience working with Sales and Marketing, Medical, HR, Facilities and Finance teams.
- Bilingual (English/French).
