In this role, you will support the Medical Capabilities team in the operational coordination of national and international congresses and scientific events, contributing to the execution of activities while ensuring compliance with industry regulations and company policies under the guidance of more senior team members.

You will:

  • Support the operational coordination of congresses and sponsored scientific events, assisting in the execution of planned activities
  • Assist in the preparation of documentation required for regulatory submissions and internal approval processes
  • Track timelines and support the team in monitoring deadlines for congress-related activities
  • Collaborate with cross-functional teams (Marketing, Medical, Compliance, Finance, Regulatory) to support alignment on event requirements
  • Support communication with external vendors, congress organizers and service providers, ensuring information is correctly shared and tracked
  • Assist in the management and update of internal tools and congress tracking systems
  • Support the collection and verification of healthcare professional documentation in line with compliance requirements
  • Assist in preparing documentation required for internal and external audits (Farmindustria / Corporate)
  • Support budget tracking activities and administrative processes related to congress participation
  • Contribute to the preparation of post-event reports and support the identification of process improvement opportunities

Qualifications:

  • 1–3 years of experience in event coordination, project support or administrative roles, preferably within the pharmaceutical or healthcare sector
  • Strong organizational skills and attention to detail and quick thinking
  • Ability to manage multiple tasks and priorities with guidance from senior colleagues
  • Good problem solving skills, proactivity, willingness to learn and attitude to team work
  • Good analytical skills
  • Knowledge of MS Suite (Excel and PowerPoint in particular) and interest in developing advanced capabilities
  • Good communication skills and ability to work effectively with cross-functional teams
  • Interest in developing knowledge of pharmaceutical regulations and industry standards
