WHAT YOU WILL DO

As Administration Coordinator, you will partner closely with senior executives and stakeholders across different functions and geographies, supporting the leaders who drive our strategic priorities across the organization. You can make a real difference by ensuring coordination, clarity, and consistency in how executive schedules and relationships are managed.

As a strategic administration partner, you will deeply understand executive priorities to effectively manage complex, multi–time-zone calendars, navigate stakeholder interactions, and act as a trusted gatekeeper for the executive’s time and focus. You will communicate daily with senior leaders, ensure accuracy across meetings and travel arrangements, and maintain confidentiality with the highest level of professionalism.

The responsibilities of the role will include:

  • Proactively manage complex calendars, schedule meetings across global time zones

  • Coordinate domestic and international travel, including expense reporting via Concur

  • Prepare and proofread correspondence, reports, and presentations

  • Support department operations such as onboarding/offboarding, technology set-up, and workspace coordination

  • Partner with other administrative professionals and functional areas to ensure alignment and communication

  • Assist with budget tracking and vendor coordination

  • Maintain confidentiality and professionalism in all interactions

  • Collaborate on special projects and events as needed

  • Leverage digital tools, including AI, to streamline workflows, increase efficiency, and improve quality

  • Assess current administrative workflows to optimize and automate processes

Minimum requirements

  • Post-secondary education and 2 years of administrative experience

Or

  • High school and 4 years of administrative experience

Preferred requirements

  • 4+ years of experience supporting senior leadership in a corporate or biotech environment

  • Expertise in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel)

  • Proficiency in Concur, Workday, and Microsoft Teams

  • Excellent organizational, written, and verbal communication skills

  • Proven ability to manage multiple priorities in a fast-paced environment

  • Strong attention to detail and problem-solving skills

  • High level of discretion and integrity when handling confidential information
