WHAT YOU WILL DO

The Senior Congress & Events Coordinator at Amgen will organize and coordinate events and congresses on behalf of the company. You will manage all event logistics, venue selection, contract negotiation, marketing, and post-event reporting.

The responsibilities of the role will include:

  • Plan and Coordinate Events: Organize congresses, standalone meetings, seminars, and internal events in collaboration with Marketing, VA&P, Medical, Communication, and Innovation teams.

  • Vendor Management: Serve as the primary liaison with the logistics agency, providing detailed event briefings and ensuring smooth execution.

  • Compliance Oversight: Review and validate quotes and project proposals from the logistics agency to ensure alignment with budget and regulatory requirements under the benefits framework. Manage payment processes, including PO submissions/modifications and invoice approvals.

  • Global Alignment: Act as the local interface with the Global Event Management team (GMM), participate in meetings, and implement global standards and policies at the local level.

  • Budget Management: Monitor and manage event budgets in coordination with relevant Amgen teams to ensure cost efficiency and financial compliance.

  • Performance Evaluation: Collect and analyze participant feedback and event performance metrics to identify improvement opportunities for future events.

  • Support the audit team with any requirements / information

  • Responsible for recognizing and escalating problems or risks, as and when they arise in line with the business requirements

WHAT WE EXPECT OF YOU

Qualifications:

  • Bachelor’s degree in Event Management, Marketing, Business Administration, or related field.

  • Minimum 3–5 years of experience in event planning and coordination, preferably in the pharmaceutical or healthcare industry.

  • Experience working with logistics agencies in the pharmaceutical industry.

  • Strong understanding of compliance regulations and budget management.

  • Experience working with external vendors and managing contracts.

  • Fluent in French (required) and proficient in English.

Skills:

  • Project Management: Ability to manage multiple events simultaneously and meet deadlines.

  • Communication: Excellent verbal and written communication skills for cross-functional collaboration.

  • Attention to Detail: Strong organizational skills and accuracy in compliance and financial processes.

  • Problem-Solving: Ability to anticipate challenges and implement effective solutions.

  • Technical Proficiency: Familiarity with event management tools, budgeting systems, and Microsoft Office Suite.

  • Interpersonal Skills: Ability to build strong relationships with internal teams and external partners.
