WHAT YOU WILL DO
We are seeking a highly organized, service-oriented Associate Talent Acquisition Operations to deliver accurate and timely recruitment administration and coordination services across ELMAC countries.
In this role, you will support key stages of the hiring lifecycle, including interview coordination, offer and employment-contract administration, pre-employment checks, Workday hiring activities, and pre-boarding coordination. You will work within defined processes and country requirements, maintain high-quality data and documentation, and provide a responsive experience for candidates, recruiters, hiring managers, and HR partners.
Responsibilities:
Coordinate interviews and candidate logistics, including panel availability, time zones, schedule changes, virtual or onsite arrangements, and timely candidate communications.
Prepare offer letters and employment contracts using approved templates and documented country instructions; confirm required inputs and approvals before release.
Initiate and monitor background checks and other pre-employment requirements, follow up on outstanding actions, and escalate exceptions through the appropriate country process.
Complete assigned hiring and pre-boarding activities in Workday and other Talent Acquisition systems, ensuring information is accurate, complete, and updated on time.
Coordinate pre-boarding administration and handoffs to local HR, HR Operations, payroll, or onboarding teams in line with agreed country responsibilities.
Manage assigned cases, shared inbox requests, and work queues in line with service-level agreements; prioritize effectively and escalate risks or delays promptly.
Apply standard operating procedures, controls, data privacy requirements, and documented local rules consistently, seeking guidance when a request falls outside the approved process.
Partner with recruiters, candidates, hiring managers, HR Operations, and country HR contacts to resolve routine questions and maintain clear expectations throughout the process.
Support knowledge transfer, process documentation, system testing, and the onboarding of new countries or activities into the central TA Administration service.
Contribute ideas to simplify and standardize processes, reduce manual steps, strengthen controls, and improve the candidate and stakeholder experience.
Maintain operational trackers and support the preparation of service metrics, quality checks, and recurring reports.

Minimum Requirements:
Bachelor's degree in Human Resources, Business Administration, or a related field.
2+ years of experience in Talent Acquisition coordination, recruitment administration, HR operations, shared services, or a related operational role.
Experience supporting interview scheduling, post-offer activities, pre-employment checks, hiring documentation, or pre-boarding.
Strong attention to detail and demonstrated ability to deliver accurate work while handling sensitive personal information.
Ability to manage multiple priorities, meet deadlines, and follow defined procedures in a fast-paced, service-oriented environment.
Clear written and verbal communication skills, with a candidate- and customer-focused mindset.
Working knowledge of applicant tracking or HR information systems; proficiency with Microsoft Office tools.
Fluent business-level English is required.
Professional proficiency in at least one of the following languages is required: German, French, Italian or Spanish.
Proficiency in two or more supported languages is strongly preferred.
Preferred Requirements:
Experience using Workday Recruiting or another enterprise applicant tracking system.
Experience working in a shared service, regional, or multi-country operating model.
Awareness of data privacy principles and the importance of country-specific employment and compliance requirements.
Experience supporting process documentation, testing, or continuous improvement activities.
