Senior Facilities Coordinator

What you will do

In this vital role you will support the Work Order Administration team as a liaison between group managers, system supervisors, Quality Assurance team members, Engineers, Maintenance leads and craft team leaders in matters regarding the work order process and workflow lead responsibilities.

  • Review work scope, rationale, approvals, changes to appropriate equipment/systems and re-qualification activities. Contact parties involved for clarification, as necessary.
  • Administer and maintain the Computerized Maintenance Management System (CMMS) database for applicable area(s).
  • Support scheduling and facilitate regular Work Order processing meetings to facilitate the timely and orderly flow of Work Orders.
  • Interface with Work Order Requestors to assure their awareness of all Work Order activity of change control impact, where applicable.
  • Compile all Work Order related documentation and send the package to the appropriate area.
  • Produce and distribute regular and custom reports as requested or required to provide records of Work Order activity, equipment history, and other CMMS information necessary to manage operations.
  • Respond to regulator and other audits. Review files and records and as required, present records to auditors or authorized requesters.
  • Conduct periodic audits of Work Order Administrator in data entry, file maintenance, and other tasks.
  • Provide orientation, training, and act as lead for other Work Order Administrators/Coordinators in data entry, file maintenance, and other tasks.
  • Develop and conduct Work Order process training and orientation Work Order system users and other interested parties.
  • Assist Planner and Schedulers in documentation support.
  • Act as a liaison between various departments/collaborators by providing reports and data analysis.
  • Be responsible for verifying analytical data and revising and/or auditing various documents.
  • Ensure consistent and accurate reporting
  • SharePoint portals, Smartsheet, and workflow design and management
  • Conduct meetings and/or facilitate meetings.
  • Create complex presentation materials and spreadsheets.
  • May participate in the presentation of completed projects.
  • Make recommendations and solutions to issues encountered and/or problem solve to address countermeasure when assigned
  • Provide technical writing support for cross functional groups within the Work Order Administration and Facilities & Engineering organizations
  • Manage workflows, prioritization schedule, and approval process for SOP development (CDOCS)
  • Support the Facilities and Engineering Team with Training Management
  • Manage KPI Reporting for Facilities and Reliability Engineering Team

Basic Qualifications:

  • High school diploma / GED and 8 years of senior administrative / coordination experience OR
  • Associate’s degree and 6 years of senior administrative / coordination experience OR
  • Bachelor’s degree and 2 years of senior administrative / coordination experience OR
  • Master’s degree

Preferred Qualifications:

  • Strong customer service skills.
  • Ability to lead change.
  • Ability to lead a team.
  • Strong computer literacy
  • Advanced word processing, presentation and spreadsheet application skills
  • Ability to create complex database, i.e., Cristal Reports, Tableau, Spotfire
  • Presentation and spreadsheet application Skills
  • Must have strong organizational skills and be able to manage multiple projects at one time.
  • Demonstrated ability in managing projects, problem solving, and providing solutions
  • Must demonstrate the ability to prioritize and meet deadlines
  • Excellent communication skills, both written and verbal (English & Spanish)
  • Independently understand, follow and implement complex instructions
  • Ability to interface effectively with all-levels
  • Ability to use good judgment in making decisions
  • Project Management Skills
