As a Senior Executive Assistant supporting the Vice President of Patient Access and Services in the Rare Disease Business Unit, you will play a critical role in ensuring seamless operational execution and strategic support to one of the most pivotal leadership roles at Amgen. You will be a proactive partner and gatekeeper, ensuring the VP’s priorities are met with precision, confidentiality, and foresight. You will act as an extension of the PA&S Leader and their leadership team strengthening culture and reputation in our mission to serve Rare patients.
This role requires superior organizational acumen, discretion, and the ability to communicate across all levels of the organization. You will also be expected to operate with a high degree of independence and decision-making capability, ensuring the VP remains focused on delivering impact across the patient access and services ecosystem.
Key Responsibilities:
Executive Operations & Calendar Leadership
- Strategically manage the VP’s complex calendar, proactively resolving conflicts and aligning with business priorities
- Prepare agendas along with corresponding resources, pre-reads for external meetings as well as internal PA&S LT meetings
- Coordinate domestic and international travel and logistics, ensuring seamless itineraries and documentation support
- Manage expense reporting, timekeeping, and approvals in compliance with corporate policies
- Provide oversight and accountability on key corporate initiatives such as HR training, compliance, etc. to ensure visibility and timely completion organization wide
- Develop executive communications, in alignment with VP and SPO and distribute on behalf of VP and PA&S LT
- Maintain engagement plan including Compliance, external meetings and recognition/culture cadence
Strategic & Confidential Support
- Handle sensitive and highly confidential communications, including strategic initiatives, HR matters, and patient services planning
- Prepare and edit correspondence, presentations, and briefing materials for executive meetings
- Attend select leadership meetings to take notes, manage follow-ups, and support key deliverables
- Work closely with the Strategic Planning & Operations director on PA&S Team calendar, VP Engagement Plan, Culture calendar and recognition opportunities
- Support talent onboarding and offboarding processes
Cross-Functional Collaboration
- Liaise effectively with Patient Access and Services leadership team, Rare Disease Commercial team, Corporate Affairs, and key enterprise functions
- Serve as a point of contact for internal stakeholders and external partners on behalf of the VP
- Support planning and coordination of key leadership meetings, team offsites, and business reviews
Project Management & Event Coordination
- Track timelines and deliverables for strategic initiatives and executive-level projects
- Manage logistics and execution for internal and external events, advisory boards, and cross-functional planning sessions
- Assist in budget tracking and procurement processes for the VP’s office

Basic Qualifications:
Associate’s degree and 4 years of administrative experience
OR
High school diploma / GED and 6 years of administrative experience
Preferred Qualifications:
- Bachelor’s degree
- Executive assistance experience
- Strong technical knowledge and experience especially with Amgen’s internal infrastructures
- Ability to attend onsite meetings in Deerfield
- (Microsoft Vista, Microsoft Visio, SharePoint, SAP, IS Online Service Request, Help Desk; Concur/Expense Reporting; Carlson Wagonlit Travel; e-Finity)
- Exceptional communication skills – oral and written
- Self-starter who can function autonomously
- Focus on deliverables within agreed upon deadlines
- Ability to pay close attention to detail and manage several projects simultaneously
- Team Player – ability to function as an integral member of a small team
