Administrative Coordinator – Global Marketing (General Medicine & Inflammation)
What you will do
Let’s do this. Let’s change the world. In this vital role you will support Executive Directors within the Global Marketing organizations for General Medicine and Inflammation. The Admin Coordinator will serve as a key partner to leaders, helping drive operational excellence, seamless coordination, and effective communication across a dynamic global organization, while bringing positive energy and a fresh perspective to the team.
The ideal candidate is energetic, resourceful, and highly organized, with a strong bias for action, a willingness to roll up their sleeves, and the judgment to operate with professionalism and discretion in senior environments. This role will report to the Strategic Planning & Operations Director and will interact regularly with senior leaders, cross-functional partners, and external stakeholders worldwide.
Administrative Support
- Manage complex and frequently changing calendars for Executive Directors across multiple time zones.
- Coordinate domestic and international travel arrangements, including itineraries, visas, meeting logistics, and expense reporting.
- Support document management, including compliance-related administrative activities, presentations, and briefing materials.
- Screen and prioritize communications, ensuring timely responses, follow-up, and escalation when needed.
- Process purchase orders, invoices, and contracts in accordance with Amgen policies.
- Support onboarding activities for new team members and contractors.
- Maintain organizational charts, distribution lists, team calendars, and shared resources.
Meeting, Event & Team Coordination
- Support leadership meetings, global team meetings, offsites, workshops, and virtual events.
- Coordinate logistics for cross-functional and international meetings, including scheduling, catering, technology support, attendee management, and congress support.
- Prepare meeting minutes, track action items, and ensure follow-through across stakeholders.
- Identify opportunities to streamline processes, improve team operations, and bring forward practical ideas that enhance coordination, engagement, and ways of working.
- Support team culture, engagement activities, and recognition efforts with positive energy, sound judgment, and a collaborative spirit.
Cross-Functional Collaboration
- Partner effectively with Commercial, Medical, Value & Access, Corporate Affairs, Finance, HR, Legal, and other functions.
- Build strong working relationships across global and regional teams and functions.
- Support special projects as assigned.

Basic Qualifications:
Associate’s degree and 2 years of administrative experience
OR
2 years in a technical school setting with hands-on experience
OR
High school diploma / GED and 4 years of administrative experience
Preferred Qualifications:
- Experience supporting executives in a global matrixed organization, preferably within biotechnology, pharmaceutical, healthcare, or commercial organizations.
- Strong proficiency with Microsoft Office Suite (Outlook, PowerPoint, Teams, Word, Excel).
- Exceptional organizational skills with strong attention to detail, follow-through, and the ability to manage multiple priorities with precision and consistency.
- Excellent written and verbal communication skills.
- High degree of professionalism, discretion, and confidentiality.
- Strong interpersonal skills with a collaborative, service-oriented mindset.
- Experience coordinating across international teams and time zones.
- Familiarity with SAP, Concur, Ariba, or related enterprise systems is a plus.

The expected annual salary range for this role in the U.S. (excluding Puerto Rico) is posted. Actual salary will vary based on several factors including but not limited to, relevant skills, experience, and qualifications.
