WHAT YOU WILL DO
The Sr. Coordinator, Meetings Administration, oversees the operational and administrative functions of the Global Meetings Management team for countries and regions in ELMAC and JAPAC. This role is responsible for supporting agency coordination and assignment, documentation management, and system support across various tools including SharePoint, Smartsheet, CVENT, and Miro. The position plays a critical role in standardizing workflows, monitoring communications, and contributing to project coordination and internal process improvements.
Responsibilities of the role will include:
1. Operational & Administrative Support
- Assist in the coordination of agency onboarding and assignment of meetings or events.
- Monitor and respond to inquiries in the GMM ELMAC shared inbox, raising issues as needed.
- Coordinate and schedule key team and partner calls, such as the Country Meeting Lead (CML): forum and project Hypercare, ensuring scheduling, documentation, and materials are prepared and distributed.
- Help to maintain and manage internal tools such as Smartsheet, SharePoint, and CVENT to ensure accurate reporting and data entry.
- Provide support in preparing and formatting presentation materials and maintaining internal documentation and templates.
2. Process & Strategy Support
- Contribute to agency onboarding workflow mapping and process standardization using tools like Miro.
- Support ELMAC and JAPAC Meetings teams on high-priority projects with task coordination, documentation, and follow-ups.
- Participate in team efforts to identify and implement administrative and operational efficiencies across systems and partner interactions.

Minimum Requirements
- University degree and 2+ years of administrative or coordination experience.
Preferred Requirements
- Interest in global meeting operations, administrative support, or event coordination.
- Familiarity with systems such as Smartsheet, SharePoint, Dashboards (Tableau), CVENT, and Microsoft Office.
- Strong written and verbal communication skills, especially in cross-cultural or international contexts.
- Excellent attention to detail and ability to lead multiple tasks concurrently.
- Eagerness to learn in a team-oriented environment supporting diverse partners.
- English required, other languages preferred.
