Senior Associate Flight Scheduler

What you will do

The Flight Department Scheduler is a critical, 24/7 on-call position responsible for coordinating all aspects of company air transportation for the company’s most senior executives, including the Chief Executive Officer. This role is dedicated to ensuring the efficient and effective use of company aircraft while maintaining strict adherence to Federal Aviation Administration (FAA) Regulations, and providing a seamless, no-fail airlift experience.

The Scheduler/Dispatcher works closely with the CEO Office and other senior members of the CEO Staff to support the organization’s highest-level travel needs.

Key Responsibilities:

  • Develop, maintain, and optimize airlift requirements for corporate executives, ensuring alignment with company objectives and operational needs.
  • Partner with the Director of Aviation, Chief Pilot, and Director of Maintenance to ensure aircraft and crew availability for all airlift requirements.
  • Manage oversight of the Department Senior Aviation Coordinator and associated duties.
  • Maintain comprehensive records, including flight logs, fuel burns, and personal aircraft usage, both pre- and post-flight, to ensure FAA and company compliance.
  • Lead and conduct pre-flight briefings to confirm travel itineraries and requirements.
  • Provide flight following from takeoff to landing for all company flights.
  • Record and report quarterly cost center chargeback rates.
  • Administer and manage Professional Flight Management (PFM) and FlightBridge online reservation systems.
  • Utilize FuelerLinx to ensure accurate and cost-effective fuel purchasing.
  • Oversee the Timeshare Agreement for personal travel of the CEO or others, including coordination with company tax and law offices for SIFL and SEC reporting.
  • Conduct flight planning to calculate enroute and ground times, ensuring passenger timelines are met.
  • Manage all aspects of Company Board travel requirements.
  • Serve as the point of contact for trip requests, coordinating with passengers, executives, and other stakeholders to confirm travel details
  • Produce and disseminate fuel optimization planning reports for every trip.
  • Coordinate weekly with local service providers to ensure efficient and timely ground support for each flight, including external airlift as needed.
  • Report flight requirements weekly to the Senior Vice President of Human Resources and the Vice President/Chief of Security.
  • Procure and manage external airlift requirements, including aircraft selection, ground transportation, catering, medical restrictions, and flight following.
  • Manage home-station fuel inventory to ensure timely and cost-effective purchases and availability for all trips and contingencies.
  • Arrange handling, including FBO selection and notification, PPR and parking confirmations, fuel releases, ramp space, and cost management.
  • Coordinate and manage all aspects of international travel with trip planning services to ensure compliance with complex logistics and regulatory requirements.
  • Ensure passenger and crew compliance for international travel, including valid passports, UK ETA, health declaration forms, and visas.
  • Train and coordinate executive travel with AmexGBT team members.
  • Manage customizations with FlightBridge software and checklists and the Ejet/Reservation System
  • Manage aircrew currency and qualification and validate currency before flight assignments.
  • Participate in regular training and conferences to maintain up-to-date operational knowledge.
  • Delineate, document and provide reporting for all official, personal, and time-share travel expenses for passengers.
  • Manage airport/hangar facility access for passengers

Basic Qualifications:

Master’s degree


OR


Bachelor’s degree and 2 years of aviation management, transportation, logistics, or related field experience


OR


Associate’s degree and 6 years of aviation management, transportation, logistics, or related field experience


OR 


High school diploma / GED and 8 years of aviation management, transportation, logistics, or related field experience

Preferred Qualifications:

  • Experience in flight dispatching, aviation operations, or a similar role.
  • Strong understanding of aviation regulations and compliance requirements.
  • Excellent communication and interpersonal skills, with strong organizational and multitasking abilities.
  • Proficiency in flight scheduling software and standard office tools.
  • Ability to work under pressure and adapt to unexpected changes.
  • Exceptional attention to detail and a commitment to safety and operational efficiency.
  • Proven ability to coordinate at a high level and collaborate with senior executives.
  • Availability to respond outside of regular business hours and manage urgent, last-minute travel changes.

The expected annual salary range for this role in the U.S. (excluding Puerto Rico) is posted. Actual salary will vary based on several factors including but not limited to, relevant skills, experience, and qualifications.
